Collecting from a merchant

Scanning each parcel at the counter, bouncing what is not handed over, and closing the request honestly.

QCS riders on pickup duty4 min readPrintable handbook

A pickup is a scan, parcel by parcel. What you scan is collected and becomes your responsibility. What you do not scan stays with the merchant. There is no middle position and nothing is taken on trust.

At the counter

  1. 01Open the requestPickups, then the merchant. The screen shows the address, the contact, the window and how many parcels are expected.
  2. 02Tell the app you have arrivedStarting the pickup marks the request in progress, which tells the office and the merchant that you are there.
  3. 03Scan every parcelOne scan per parcel. The counter on screen rises as you go. A parcel that scans green is collected.
  4. 04Deal with what is left overAny expected parcel you did not scan must be given a reason before you can close. Pick the reason that is true.
  5. 05Close the requestThe app tells you whether the pickup was complete, partial or empty. The merchant is notified with the same figures you saw.

Choosing a bounce reason

A bounced parcel returns to the merchant’s Booked list with your reason on it, keeps its tracking number and is not charged. The reason list is fixed so that the record is readable months later.

Common situations
At the counterWhat to do
The parcel is not packed yetBounce it as not ready. Do not wait twenty minutes for one parcel.
The label is missing or will not scanAsk the merchant to reprint. If they cannot, bounce it.
The parcel is far heavier than the label saysCollect it and tell the warehouse. The re-weigh is their job, not yours.
The merchant offers extra parcels that are not on the requestThey must be booked and labelled first. Nothing travels without a label.
The counter is closedCall the contact on screen. If nobody answers, record it and tell dispatch before leaving.

The load sheet

  • The merchant may hand you a printed load sheet. Sign it and leave their copy.
  • If their sheet count and your scan count differ, your scan count is what moves. Say so plainly before you leave.
  • Never sign a sheet for parcels you did not scan.

Back to the warehouse

  1. 01Bring everything inEvery parcel you collected goes to P2 35 Jeff Heights, Gulberg 3, Lahore on the same run. A collected parcel does not go home with you.
  2. 02Hand over at inboundThe warehouse operator scans each parcel in. That scan, not your pickup scan, is what puts the parcel into stock.
  3. 03Check your countIf the warehouse count is lower than your pickup count, stop and resolve it there. A missing parcel found the same hour is usually in the van.

Questions riders ask

The merchant insists the parcel was handed over and I have already closed the pickup.Tell dispatch immediately. The office can see your scan list and the merchant’s. Do not re-open a closed request by scanning the parcel on a later run without telling anyone.
I scanned a parcel by mistake.Tell dispatch while you are still at the counter. They can take the parcel off the request. Do not simply leave it behind, because the system believes you have it.
The signal is dead at the merchant.Keep scanning. Everything is stored on the phone and sent when you get a signal. The Waiting screen shows what is still queued.
